How to Train Transport Managers on New Fleet Management Software

Software rollouts fail more often because of people than technology. A well-configured fleet management platform delivers no value if the transport managers using it daily don’t understand it, don’t trust it, or quietly revert to the manual processes they’re comfortable with. Training and change management are not afterthoughts as they determine whether the investment pays off.

Phase 1: Pre-Training Preparation

Before any training begins, set the context and get the logistics right.

  • Communicate the why before the how – transport managers who’ve run operations through spreadsheets and phone calls need to understand what the new system solves before they’ll invest in learning it. Connect the training directly to the problems it addresses: billing disputes, no vehicle visibility, hours spent on manual reconciliation
  • Identify roles within your transport team and map each to the workflows they’ll own in the platform. Operations managers, billing staff, and vendor coordinators need different training, not the same session
  • Set up a sandbox environment with your actual data – real routes, real vendors, real shift structures so training is immediately relevant rather than abstract
  • Designate one or two internal champions who will serve as first-line support after go-live; they should go through training first and go deeper than the rest of the team

Phase 2: Core Training

Run role-specific sessions rather than one large all-hands walkthrough by conducting shorter, more focused sessions that produce significantly better retention.

  • Operations managers: Live tracking, route management, booking oversight, exception handling, and escalation workflows
  • Billing and finance staff: GPS-verified reconciliation, invoice approval, dispute flagging, and spend reporting
  • Vendor coordinators: Trip assignment, vendor performance dashboards, issue logging, and escalation processes

 

For each role, follow a consistent format – brief feature walkthrough, then hands-on practice in the sandbox, then a set of tasks to complete independently. Phase 3: Parallel Run and Transition

Moving directly from training to full cutover is high-risk. Run both systems simultaneously for a defined period first.

  • Operate the new platform alongside existing manual processes for two to three weeks. The platform is the primary system, but manual records serve as a backup during the transition
  • Use this period to catch gaps in training like workflows that weren’t covered, edge cases the team hasn’t encountered before, and features that need reinforcement
  • Set a firm cutover date after which manual processes are retired; an open-ended parallel run delays adoption and creates confusion about which system is authoritative
  • Track adoption actively during the parallel run – login frequency, workflows completed in the platform, and reconciliation completion rates tell you who needs additional support before cutover

Phase 4: Post-Go-Live Support and Reinforcement

Training doesn’t end at go-live. The first four to six weeks of live operation are when habits form.

  • Keep internal champions accessible during this period – peer support is more effective than formal training for day-to-day questions that come up in real operations
  • Schedule a structured review session two to three weeks post-go-live to address gaps, share what’s working, and reinforce workflows that aren’t being used correctly
  • Measure platform usage and follow up individually with team members who aren’t engaging. Resistance at this stage is usually rooted in unfamiliarity, not unwillingness
